Financial Services Year End Deadlines:
February 9, 2011 is the final date for sending present fiscal year requisitions to Financial Services. A shortened tendering process may be used on low dollar value purchases to ensure purchases are made by fiscal year end. High value purchases over the thresholds of $25,000, $50,000 and $100,000 for goods, services and construction respectively,
will require a full public tender process of 15 days. Please bear this in mind, along with appropriate delivery lead times and submit your requirements in February for any residual requirements for the current fiscal year. New requirements for 2011/2012 can be submitted for tendering prior to April 1, 2011.
DPO’s can be processed throughout the rest of fiscal 2010-2011, however, to simplify year end processing, and ensure receipt of goods prior to March 31, 2011, we suggest you do not issue DPO’s greater than $1,000 after March 15, 2011 and limit procurement to essential items thereafter.
The cut off for forwarding DPO’s and invoices to Financial Services is April 8, 2011. This date must be adhered to in order to ensure processing of payments in fiscal 2010-2011. Purchases $5,000 or over must to be approved by the Deputy Minister and Minister. Purchases of goods and services for the 2010/2011 fiscal year must all carry an
invoice date of March 31, 2011 or earlier.
It is important to note that goods/services received after March 31, 2011 must be charged to your 2011-2012 budget regardless of when the purchase order was created.
Also, please note that the cut-off date for Journal Entries will be April 15, 2011.
If you have any questions, please do not hesitate to contact the financial services office at 893-6602.

SCHEDULE OF IDW EVENTS AT NSAC
Continuing and Distance Education
NSAC Continuing Education is pleased to partner with the NS Department of Agriculture and Labour and Workplace Development to offer skills training to farm employees in Nova Scotia. In February, three courses are being offered to farmers and their employees in the subject areas of Livestock Medicines for Milk and Meat Industries and Precision Agriculture- Using GPS and GIS technology on Farm.
In the one-day course on Livestock Medicines, being held on February 10, 2011, participants will learn about the proper handling, storage, and use of livestock medicines. Course materials will coincide with on-farm food safety programs and will lead to improved consumer confidence.
The Precision Agriculture training is divided into two levels. The first course (February 22 and 23) will give participants an introduction to the technology of data collection using GPS, before taking the advanced course (February 24 & 25) where participants will learn more about how they can use the data for improved record keeping, reduced input application and decision making on the farm.
These courses were funded under the Canada-Nova Scotia Labour Market Agreement and are being offered at no cost to participants. Students are welcome- register today as space is limited!

Provincial Science Fair
This year, the Conseil scolaire acadien provincial will be hosting the annual provincial science fair École Acadienne de Truro. We are very excited to have this event in our beautiful part of the province, however, we need help.
The provincial science fair assembles approximately 50 to 75 students, from grades 7 through 12, coming from all parts of the province. They will come to the school on March 23rd in order to set up their projects and they will be evaluated on March 24th. On this date, the three winners will be announced and they will make their way to the national science fair which will be held in Toronto, Ontario. The national science fair assembles approximately 500 students from all corners of the country.
I am wondering if you have any students/faculty members that are bilingual or french that could be judges for that day. If interested, please contact the school directly.

NSAC Autopact
If you are an Autopact member, then you have received your invoices for the 2009/10 year along with a note from Jim Houghton. There was one small error on that note and I want to clarify that although some say I can be dramatic…..I’m no Ginger Rogers!! I do thank Jim for allowing me to have a quick moment of fame.
However, the Secretary-Treasurer of The Autopact is indeed Ginger Stoddard (NSDA, Business Development and Economics) located in Suite 210 of the Harlow Building in Truro. I can be reached at 893-6580 or by email gingerstoddard@eastlink.ca.
If you are a new employee and have not heard of The Autopact, please contact me to find out more about it. The quick and dirty is: The Autopact is a cooperative association that provides low-cost, no-frills collision and comprehensive automobile insurance coverage. The organization was established in 1963 by 20 employees of the Nova Scotia Department of Agriculture and Marketing who wished to self-insure their vehicles for collision damage. Comprehensive insurance coverage was added in 1992. Today, The Autopact insures 350 members and 550 automobiles.
